itrac360 Release Notes

New Dashboard and Alerts

When logging in to itrac360, you will now be presented with a default dashboard.


The dashboard is comprised of two sections.

  • An alert section
  • A chart section

By default, the dashboard is populated with several charts to provide key metrics around assets, repairs, and inventory.

 

Dashboard Themes

The color theme of the dashboard can also be changed by clicking on the Theme button on the top right of the dashboard.

Several color palettes are provided, and your selection will be remembered the next time you log in to itrac360.

 

Arranging the Dashboard

The dashboard layout can be modified by resizing individual cards or dragging them to a new location.

To reposition a card, click anywhere in the title area and drag the card to a new location.

Notice that as you drag the card, the other cards will rearrange themselves around it.

To resize a card, grab the bottom-right corner and adjust the height or width as needed.

Again, the surrounding cards will rearrange themselves to accommodate the new card size.

Card Options

The ellipsis on the top right of each card allows you to configure the chart, duplicate it, or download it for inclusion in a presentation.

Similarly, if any of the default charts are not useful to you, you can delete them by choosing the Delete option on the menu.

To see the data behind any chart, click on an element such as a bar, number, or line, and itrac360 will open a report to show you that data.

Adding New Charts

 

New charts can be added to the dashboard by clicking the Add button in the top right.

Under the charts section, there's a list of pre-defined charts that can be added to the dashboard and used as a template, together with a "Custom" option to define your own.

When you add a new chart, you will be presented with the chart dialog box. The example below is a custom chart.

Begin by selecting the area to chart, such as Asset, RMAs or Orders. Now choose the chart type from the available options.

In the That Shows Me section, choose the column to chart.

Notice that the Chart Title automatically changes as the chart is configured. 

Once complete, you can either accept the default chart title or click on the pencil next to the title to change it.

The last dropdown on this configuration is the Limit option, which is used to restrict the number of values shown on the chart. 

In the example shown below, we could decide to limit the number of statuses shown on the chart to just the top 3.

The resulting chart would then look as follows:

To apply conditions to the chart, click on image-itrac360-green-plus button next to Conditions

Based on our working example, the chart could be restricted to just one device or model by adding the condition:

Notice as text is typed into the field, itrac will provide suggestions based on actual values in this column.

Example

One of the default charts is a Due Backs chart which shows the number of devices in due back date ranges.

It is defined by specifying the range for each column (30) and the number of columns (5).
 
Each column will therefore represent a 30-day count of devices showing 0-30, 30-60, etc.

The Excluding or Including other values option is to determine whether an extra column is created for values that fall outside of the defined range. In this case, it would be values greater than 30, 50, or 150 days.

 

Adding New Alerts

 

New alerts can be added to the dashboard by clicking the Add button in the top right and selecting Custom under the Alerts section.

itrac360 supports three types of alerts.

  • State Change
    A stage change alert allows you to be notified if something changes on an asset, order, or repair. For example, if you wanted to know when a repair is completed or an order ships.
  • Threshold
    Threshold alerts allow you to specify a threshold value and will notify you if the threshold is crossed. For example, if your spare pool gets too low or the number of technical support tickets for the last week spikes.
  • Trend
    Trend alerts measure changes in quantities over time as a percentage. For example, if you want to be alerted if the number of RMAs has increased by 10% over the last week.


Alerts show in green when they are active and have not triggered and turn red when they trigger.

After selecting Custom from the Add dropdown, the alert dialog box will be displayed.

Alerts can be enabled or disabled with the toggle in the top right.

Select the perspective to be alerted on and the alert type.

In the Inventory example below, select the status (Available to Order, Lost, etc.) and set the threshold.

The alert is now defined to trigger if the number of Lost devices goes over 100.

This could be subset further with a Condition to restrict the device or model to alert only if a specific model is lost.

Finally, to be alerted via email when the alert triggers, toggle the Send Notification Email switch.

By default, the current user email address will populate, but this can be changed or additional email addresses added.

Examples

A status change alert can be used to trigger if a single asset, order, RMA, or ticket changes in a defined way.

In this example, the alert will trigger if the status of the specified RMA changes to "Due Back," signifying that the replacement device has just shipped.

The card for this alert will show the current status and turn red when the status changes to "Due Back."

A Trend alert focuses on values increasing or decreasing over a time period by a certain percentage.

In the example below, the definition is looking for the trend of RMAs increasing by more than 10% over a 30-day period.

Resetting Alerts

Once an alert triggers, it will no longer continue to monitor its configuration.

In this situation, if the alert is to be reused, the Reset button will need to be clicked.

This will cause the alert to recalculate and resume monitoring its configuration.

 

The search bar at the top of the itrac360 window has been enhanced to find more values in data.

Specifically, metadata associated with assets is now searchable in addition to order reference information, such as a Portal Order number.

 

Improvements to column filters

The column filters have been enhanced to make them easier to use.

"Paste and Go" is now is now supported by pasting a value into the field and pressing the Save button.

As you type into text fields, itrac360 will also show an autocomplete dropdown.

Performance Improvements

The overall reporting performance has been significantly enhanced to allow complex column filters without impacting report retrieval time.
